Who we are
Eco Sinergia LLC ("Eco Sinergia", "we", "us" or "our") is an environmental consulting firm registered and operating in the State of Montana, United States. Our office is at 685 Georgia Avenue, Helena, Montana 59620. The firm is owned by William Smith, who is responsible for privacy matters and can be reached at info@eco-sinergia.org or +1 917 480 5253.
We take the confidentiality of client and visitor information seriously. This policy explains, in plain language, what we do with personal information.
Scope of this policy
This policy applies to the website eco-sinergia.org and to personal information we receive when you contact us, request a proposal, or engage us for professional services.
It does not apply to third-party websites that we may link to, nor to the internal personnel data of our own employees and contractors, which is governed by separate arrangements.
Information we collect
We collect only what we need. In practice that means:
Information you give us
- Contact details — your name, organisation, email address and telephone number when you complete our enquiry form, email us or call us.
- Enquiry content — the description of your site, project or requirement that you choose to send us.
- Engagement information — where we are appointed, the contractual, billing and project information necessary to deliver and invoice the work.
Information collected automatically
- Server log data — our hosting provider records standard technical information such as IP address, browser type, referring page, and the date and time of a request. These logs are used for security and troubleshooting.
- Cookie data — a small record of your cookie preference, plus, if you consent, aggregated analytics about page visits. See the Cookie Policy.
Our website enquiry form does not transmit your message to a database on this site. It prepares a message in your own email application, which you then send yourself. We therefore only receive what you actually send.
We do not knowingly collect sensitive categories of personal information such as health data, and we ask that you do not send such information to us.
How we use information
We use personal information to:
- respond to your enquiry and provide the information you asked for;
- prepare proposals, quotations and scopes of work;
- deliver, manage and invoice consulting engagements;
- maintain project records, including those we are professionally expected to retain;

We do not sell personal information. We do not share it with data brokers. We do not use it to build advertising profiles, and we do not operate behavioural advertising on this website.
Why we are permitted to use it
Depending on the circumstances, we process personal information because it is necessary to take steps at your request before entering into a contract, because it is necessary to perform a contract with you, because we have a legitimate business interest in operating and securing our website and responding to enquiries, because you have consented (for example to non-essential cookies), or because we are required to by law.

When we share information

Client project information is treated as confidential and is not disclosed for marketing purposes. We name clients or publish project figures publicly only with prior written permission.
How long we keep information
We keep personal information only as long as we need it:
- Unsuccessful or general enquiries — normally up to 24 months, so that we can pick up a conversation if you come back to us.
- Client engagement and project records — normally seven years after the end of the engagement, reflecting professional, insurance and tax expectations. Some technical records with long-term monitoring value may be kept longer in a form linked to the site rather than to an individual.
- Accounting records — for the period required by applicable tax law.
- Website server logs — typically 30 to 90 days, depending on our hosting provider's configuration.
When a retention period ends, information is deleted or irreversibly anonymised.
How we protect information
We apply reasonable administrative, technical and physical safeguards appropriate to a firm of our size. These include encryption of the website connection (HTTPS), access controls on our systems, password and device management, restriction of project data to personnel who need it, confidentiality obligations in our contracts, and secure disposal of physical records.
No method of transmission or storage is completely secure. We do not claim that our systems are immune to every possible attack, and we ask that you avoid sending highly sensitive information by unencrypted email.
Your choices and rights
You may, at any time:
- ask what personal information we hold about you and request a copy of it;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information, where we are not required to keep it;
- object to or ask us to restrict a particular use of your information;
- withdraw consent you have previously given, including your cookie choice;
- ask us not to contact you again.
Depending on where you live, some of these may be legal rights and others are simply how we choose to operate. Residents of certain U.S. states and of jurisdictions outside the United States may have specific statutory rights, including the right not to be discriminated against for exercising them; we honour such requests regardless of where you are located.
To make a request, email info@eco-sinergia.org with enough detail for us to identify your information. We respond within 30 days, or tell you if we need longer. We may need to verify your identity before acting on a request. There is no charge unless a request is manifestly excessive or repetitive.
We do not sell or share personal information for cross-context behavioural advertising, so there is nothing to opt out of in that respect.
Children's privacy
This website and our services are intended for businesses, public bodies and adults acting in a professional capacity. They are not directed at children, and we do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, contact us and we will delete it.
Third-party links
This site links to a small number of external resources, including an embedded map provided by OpenStreetMap. When you load a page containing that map, your browser contacts the map provider directly and that provider may receive technical data such as your IP address. Their handling of that data is governed by their own privacy policy, not by this one. We have no control over, and accept no responsibility for, the content or privacy practices of third-party sites.
International visitors
We are based in the United States and our website is hosted in the United States. If you access this site or contact us from another country, you understand that your information will be transferred to and processed in the United States, where data protection law may differ from that of your own jurisdiction.
Changes to this policy
We review this policy periodically and may update it to reflect changes in our practices or in the law. The version in force is always the one published on this page, together with the "last updated" date at the top. Material changes will be highlighted on this page for a reasonable period.
